10 Surefire Ways You Can Stay Organized…

Someone recently asked me how I stay organized with internet marketing. She wanted to know what tools, websites, and other things to use.

I was overdue on this question, and VERY busy, so I made a video while on the airplane to answer it. (Talk about maximizing time! :) ) However, I just listened to it and realized it’s much noisier than I anticipated… so I had it transcribed. Here’s the main gist of everything:

#1: Calendar. I put everything that’s going on in a main calendar that syncs to my phone. At one glance I can see all upcoming appointments, due dates for projects, and anything that I need to remember. It’s a GREAT way to have an overall big picture look at what’s happening.

#2: I use a 3 subject notebook method that you may have heard me mention before. Here’s how it works: the last section of the notebook is where I list out my yearly goals (like making $10,000 a month). In the second section I break down how I can achieve those goals in 3-6 month increments (like having 500 people pay $20/month). The first section is daily to-do items where I break down the second section even more. This helps me keep my eye on the end goal. #3:  30/60/90 day plans are also great. You can outline what you want to get done in 30, 60, and 90 day increments if you’re not yet willing to go a year out.

#4: Outsourcers are a highlight of my life! One of my VAs is just amazing. I spit out any random thought that I have for her onto a Jing video, and she’ll make a list out of it, and then an action plan. You can hire someone like that too.

#5: I have a different folder for every single project. It’s MUCH easier to organize things that way.

#6: I ONLY put things on my desktop if I’m working on them at the moment. If I get more than 5 icons on my Desktop I start to get uncomfortable. I literally feel repulsed when I look at some other people’s desktops and see a computer littered with icons. How can you NOT feel overwhelmed by opening up your computer and seeing that every day?!??

#7: Mindmaps are VERY awesome. You can use them to brain-dump a bunch of thoughts and not worry about them fitting in any kind of order. There’s also something about them that make even the most daunting tasks NOT seem like they’re too much to bear.

#8: I LOVE Google Docs. I share a lot of spreadsheets and files in Google Docs with outsourcers. I find it easier to use than Base Camp, and it’s free!

#9: Dropbox is another FANTASTIC tool that I love collaborating with people on.  Here’s one way I use it: I put a file in Dropbox for my VA, she downloaded it, edited the file and designed it, and then uploaded the finished PDF in there. It was so easy!

#10: Use Action Enforcer or a timer. When you set amounts of time that you’re going to allot to certain tasks, it helps you get them done a LOT faster. I won’t go into this too in too much detail since this blog post is about organization, not productivity, but I think it needed to at least be mentioned.

    I was really starting to get disappointed about all of the emails that I have in my inbox and not one of them was giving me just content, but here the 5buck guy comes through with this great list of tips. Thank You.
    Now if I may be so bold, one of my tips that goes hand in hand with your list and is easy to implement. If done monthly it works best, but I only do it when I get frustrated with how much mail that I have. You guested it, eliminate any emails that seem to only send you affiliate links and none of their own content.
    After doing this, you will go from not being able to clear your inbox to clearing it in minutes

    Thomas Leonard :) Thank you so much for that Thomas!! And YES!! I totally agree about the emails. I’m on barely anyone’s lists for that very reason… although, to be fair, most people take action on the “buy” emails than the “content emails”, so it seems like that’s what people want!

    Dennis, I agree with you on the desktop. I only have current items and links to programs on my desktop, along with a general notes about things I might research further. Once I start a project, it gets a folder, and everything goes into the folder.

    Probably the one thing that gives me more productivity is my desk. It’s a white board, and I write simple notes on it. Where I’m at in a project, things to look at, and short notes reminding me of things to do.

    Some good hints there.

    My desktop is a mess :-( I need to get a grip of it.
    I have never tried the “3 subject notebook”, but it sounds like a good way to sort things out. I will give it a try. And I will also look into some more of your suggestions. You always need to be “above” the chaos that surrounds us.

    I used to get home after work, have my dinner and then sit down in front of my laptop to do some IMing. How many times did I get so overwhelmed that I just closed the lid and watched TV instead. If there is one thing that really got me going it was a timer. I set it for an hour. Log out of twitter and facebook, turn off skype and close my email. I achieve more in 2 one hour blocks each evening than I used to in a week. Once you have that working for you, setting goals and time limits is quite easy as you now have real knowledge of how long things are going to take.

    Every time I get some more of these clues more crap creeps in and gets me off track again. Staighten up, mess! Staighten up – mess! Over and over again! I bring things to the Salvation Army and I come home, look around, and see more stuff than I had before I left. How does this happen and are we in a never-ending cycle?

    Thank you Rachel for the tips. I have a LOT of icons, folders and files on my desktops, which are items that I planned to work on, but…well, I get overwhelmed just to see all of them on my desktop!

    I love your idea about using a calendar. I’ve tried using iCal on my Mac, which I used to sync on my iPod Touch. However, I found using calendars on a device (Macbook, iPod Touch) makes me felt like I lost a personal touch on my calendaring system..and now I just print out my iCal calendar and jot down my tasks and plans manually on the printed iCal calendar. I feel so much better that way, hehe.

    I discovered a nifty software that is free and or pretty cheap that organizes your desktop files into fences. It is called Fences by Stardock. Once you have created/named a fence, you stick all similar files in it. Then what is the coolest thing of all is that you can double click on the desktop and poof the files “disappear”. Then when you want to see them again just double click and poof they are back. Great for those times when you feel like being Zen-like ;) Highly recommended!
