Our 5 Best Time Management Tricks – Handed To You On A Silver Platter!

by Rachel Rofe

Hey everyone!

Rachel here, and I wanted to give you all a little “present”. :)

See, Ronnie Njimeh and I worked really hard on a course called Time Management Tricks last month. We both have productivity levels we’re proud of, and it’s amazing to see how much of the EXCEPTION that is in this industry.

So Ronnie and I wanted to help…. and we put together a ton of tips into our course. In fact, we astonished each other with how much we knew!

For those of you sitting on the fence about the course, or who just want some great action-taking tips, we’ve decided to post some of our best tips. You can either download a pdf version fo them right here (no opt-in required), or see them listed out below.

So without further ado… here are 5 of our best productivity tips:

#1: CREATE A TIMED TO-DO LIST

Parkinson’s Law states:

“Work expands so as to fill the time available for its completion.”

So if you only have 10 minutes to write an article before a doctor’s appointment, you’ll be focused on getting it done in that time span.

On the flip side, if you give yourself 2 hours, you’ll find your way to Facebook, Twitter, and YouTube before even writing your first word.

Timed to-do lists have saved me so many times. Not only did I knock things out MUCH quicker than I would have if I weren’t racing against the clock, but even having the clock going forced me to START.

I love, love, love timed to-do lists.

#2: CREATE STEP-BY-STEP PRODUCTIVITY CHECKLISTS

Anything you need to do more than once requires a repeatable system to follow.

The goal of this checklist is to simplify a task and systemize it. There really should only be 1 or 2 ways to do a task, it should be THAT foolproof.

When you have lists like this, you can either to tasks yourself MUCH faster… or you can outsource them, worry-free, knowing you took care of EVERY possible problem.

Exercise: Write down the precise steps you would take to post a PLR article onto WordPress. (Hint: It should be at least 15 steps. The answer is inside the Time Management Tricks course.)

#3: HAVE AN “ACTION TO STUDY” RATIO

Jason Fladlien coined the term “action to study ratio” as a way to demonstrate that you should be taking action more often than you’re studying.

For every 3 hours of action, give yourself 1 hour of study. Or 5 hours of action to 1 hour of study, or however you want to do it… just make sure that you’re spending far more time taking action than you are reading about it.

This will make sure you make a lot more money instead of just thinking about it!

#4: ACCOUNTABILITY

Having some kind of accountability to your goals will help make sure that you reach them.

There are several ways you can do this. Some examples include using Action Enforcer (included with Time Management Tricks), posting your goals in marketing forums, or telling your friends and family.

Another particularly cool idea is using StickK.com. This is a free service where you announce a goal and tell your friends or accountability partners about it. You also designate a “referee” friend who ensures you’re doing what you’ve committed to. If you don’t reach your goals, then not only do you get the public shame, but you can also choose to have to donate money to a cause you DON’T like.

#5: SLIP INTO YOUR “FLOW STATE”

Flow is a mental state where you’re fully immersed in feeling energized, focused, and fully involved in your task at hand.

You know when you’re in your flow state when you completely ignored any sounds or calls and completely lose your sense of time.

To slip into your state of flow, you must have a specific goal in mind before you begin, that way you don’t waste any precious time or brain power deciding what to do next.

Next, you need to focus on building your momentum and concentration, which involves strengthening your sense of self-control to push away distracting thoughts.

It takes practice, but over time you’ll learn how to slip into your state of flow.

You can do this by meditating a lot, or we’ve included some awesome binaural beat mp3s in Time Management Tricks :)

Some very solid advice here Rachel. I didn’t have to read any further than Step 1. Having that forcing function of a time commitment is HUGE. In fact, I make my due dates for most projects shorter than they need to be to FORCE myself into action.

For example, I released my membership product with Dennis this week only 7 days after starting it. I committed to Dennis that it would be done by then so the accountability you talk about kicked in and made me get it done.

Everyone should follow your advice to the letter and they will be super surprised with the results.

I bought this course and found many helpful tips. I recommend it. I especially like the idea of timing your tasks. That has really helped me be more productive especially when as a writer, I want to write and I feel overwhelmed. I think a story is going to take a long time so I’ll say, “Okay, I am going to take 1 hour or 90 minutes on this.” It really helps to get me out of overwhelm and it helps on other tasks as well.
In fact I needed this reminder today on a task I am putting off. I just decided to take 30 minutes and set the timer. If I do it in 30 minute increments, I will get it done! Thanks for the reminder.
    Keep up the good work!

Great tips, and indeed, getting into the flow is something we all need to do. Disclose distractions etc. Not easy these days but once you get the hang of it you like it.
One thing I would like to add is that once you start working at high speed your brain gets addicted to it (hence the existence of speed-reading, better memory use etc) Setting specific goals in terms off “what and when” is the way to get things done. What I miss is that prioritizing tasks before starting them is a good way of doing the things at the right time.
Pff, finished writing this reply before my ftp server was ready sending my base site to a new site I am settiung up, time for a drink!

one more idea I find VERY useful, work with dual monitors if doing computer work. set them up to expand the desktop, that way you can easily open more applications that you might need for your work and you don’t have to alt-tab (or windows-tab for airo users) through the running applicating. Set the screens up so you have all the info right before you. Also, make sure the monitors are big enough. (I have 3 24″ monitors working for me).

@Boudewijn – AWESOME points about your brain getting addicted to it!!

    And WOW… THREE monitors? Crazy!!

I have my desktop monitor + a 24 inch one. I actually never seem to use the 24 inch one any more since I very rarely have more than one tab open at a time, but I know I could be utilizing it more. Thanks for the reminder. :)
